Notify Us of Changes
Certain things may require a modification to your contract, such as changes to your vehicle and equipment, operating area, contact information, and more.
When to notify us
Changes can happen throughout the life of your contract. You must
notify TCEQ promptly of any changes to your contract.
If you have an active contract, you must contact TCEQ before you
sell your grant-funded vehicle or equipment.
If you plan to sell your vehicle or equipment and drop out of
the grant program, we will calculate the amount of money that
you will need to return.
TCEQ may allow you to sell your vehicle or equipment to another
person or business that is willing to take over your contract
requirements. You must notify TCEQ and get approval for the
person or business buying your vehicle or equipment. If the sale
is approved, TCEQ will send out a “three-way contract
agreement.” All parties must sign, agreeing to the transaction
and the contractual requirements.
It is important that you operate in the area(s) for the percentage
of time that is listed in your contract. If you need to change an
area or the percentage of time that you operate in an area, please
contact TCEQ to discuss your needs. If you are not operating in
area as required, you may be required to return a portion of grant

Authorized representatives
If your authorized official or designated project representative
changes, you must notify us. Please also notify us if any contact
information changes for either authorized representative.
Complete the Contract Change Request Form (TCEQ-20836)
to notify us of these changes.
If the other entity agrees to own and operate the grant
equipment throughout the remaining term of the activity life,
TCEQ may approve assignment of the contract and send out a
“three-way contract agreement”. All parties must sign, agreeing
to the transaction and the contractual requirements.
If TCEQ does not allow the assignment or the other entity does
not agree to the assignment, TCEQ will require you to return a
portion of the grant funds.
Repossession or inability to make payments
You are obligated to operate the grant equipment throughout the
activity life. If you are not able to make payments or the
equipment is repossessed, contact TCEQ promptly. You may be
required to return some or all of the grant funds. Contact us at

Inability to work
If you are unable to work for a brief period (up to 2 months), the
issue can be documented on your annual Usage Report. Indicate what
caused the inability to work and how long you were unable to work.
